How Mortar works

From the first link to the final invoice, it's the same item.

In Mortar you add a product once. That one item is the line in your budget, the row on your finishes schedule, the thing your client approves, the line on the purchase order and the line on the invoice. Here's how a project runs.

Set up the project

Name the project, add the client and the rooms, and give each room a budget as a percentage or a fixed amount. Already have a spreadsheet? Import it, including our free budget template, and Mortar builds the rooms and items for you.

Import your spreadsheet →
An item form filling itself in from a pasted supplier link: an aged brass pendant light, coded LT-03, with its photo, $1,240 price, finish and 6-week lead time, flagged "Filled in automatically".
2Design

Add it

Paste a product link and the name, price, photos and specs fill themselves in. On a trade portal behind a login, use Save to Mortar. Give it a code like LT-03 and your markup, and it's in the room budget and on the schedule.

Procurement →
A living room budget at $19,800 of $22,500, amber and labelled "Approaching · 88%" after a client picked a sofa, with room bars for kitchen, main bedroom and powder room and a margin figure marked visible to the designer only.

Watch the budget

Every item you specify, swap or get approved moves the room total straight away: on track, then amber when you're approaching, red if you go over. Your margin is visible to you and nobody else.

Budget tracking →
A Harborview Residence kitchen finishes schedule stamped "REV B · ISSUED, 18 Sep 2026, can't be edited", with coded rows for flooring, paint, a pendant and tile, next to a list of three changes since Rev A.
4Design

Issue the schedule

When the spec is ready, issue the finishes schedule as Rev A. An issued revision is frozen exactly as it was sent and can't be edited. Change something, issue Rev B, and see what changed since Rev A.

Finishes schedules →
A client's phone showing an upholstered bed option with Love and Comment buttons, a large Approve button mid-tap, "Approved by Sarah · 12 Oct" saved on the item, and a price-visibility toggle set to Totals only.
5Client

Show the client

Send one link. Your client opens the portal with no account, sees the selections and the budget the way you choose to show them, and loves, comments, approves or picks between options. Every decision lands on the item with the date.

The client portal →
A forwarded supplier quote landing as three priced lines in the Quote Inbox, and a purchase order for Heal's with an oak dining table highlighted in orange: lands 27 November, three days after the 24 November build start.
6Procure

Order it

Request a quote from inside the project, or forward the supplier's email to the project's Quote Inbox and it lands as priced lines. Raise the purchase order from approved items, track lead times and supplier payments, and anything that won't land before the build start flags itself.

Procurement →
A Harborview Residence balance invoice for $9,860 after the deposit, marked PAID, paid by bank transfer with a $15 capped fee instead of the $325.68 a card would have cost.
7Bill

Bill it

Invoice the deposit and the balance straight from the approved items. Your client pays in the portal by card or bank transfer, gets a receipt, and the fees are the ones on our pricing page.

The rest of the project, not just the budget

  • Your team

Invite your assistant or PM. Members do the work without ever seeing cost or margin.

  • The AI assistant

Ask about the project in plain English, or hand it the tedious parts. It asks before it does anything sensitive.

  • Your calendar

Project dates in your own calendar with an ICS feed.

Run your next project on one list. Get your evenings back.

Load a real project into the trial. Paste a product link and watch it fill itself in, then open the portal your client would see. You'll know within a week.
